Pricing rules

When you pay and what you receive

Paid analysis is the first stage when the process is unclear. When scope is already clear, the first delivery stage can be quoted straight away.

  • Predictable cash flow — we invoice for the agreed stage, not for an undefined remainder of the project.
  • Fixed price when the stage is clearly defined — delivery stage, go-live, or analysis package after deliverables are agreed.
  • Flexibility when context must come first — analysis workshops with an hour cap or a clear cost ceiling.
  • Priority changes = a new stage quote — shifts do not break the whole contract; we price the next stage separately.
  • Right to stop — after stage sign-off you can end the engagement without a “penalty” for an unused mega-contract.

Needs analysis

Pricing model

This is the first paid stage. Time and materials with an hour cap, or a fixed workshop package — you approve the amount before we start. Workshop-scope changes are priced before we do them.

Deliverables / sign-off

Includes workshops, a process map, priorities, risks and a view on whether the solution makes business sense. You receive a recommendation: build, integrate, automate or reuse an existing tool; the scope of the first useful go-live; and an indicative cost to reach the goal and to run it later. Typical time: 2–4 weeks. Your side: 2–4 workshops and access to people who know the process. We hand these materials to you — with no obligation to continue.

Decision gate: The price applies after you accept the analysis quote. After sign-off you decide whether we quote the first build stage.

Stage quote acceptance

Pricing model

This is not a separate paid analysis. It is approval of a prepared quote: one amount for a clearly described scope (what is in, what is out, when the stage is done).

Deliverables / sign-off

You receive the stage specification, a progress-presentation plan, acceptance criteria and a schedule. Build starts only after you accept this quote.

Decision gate: Work starts after you accept scope and price. Changes after start get a short separate quote before we include them.

Stage build

Pricing model

A fixed fee for the agreed stage. Work outside scope is not added “along the way” — we price it separately and wait for approval.

Deliverables / sign-off

Includes the build and tests during the work. You receive working functionality, a presentation, a decision log and an updated plan for the next quote. After the engagement ends, the stage code, documentation and acceptance notes stay with you.

Decision gate: Price approved before build starts. After sign-off you decide: next stage, adjustment, or pause.

Production go-live

Pricing model

A separate quote: migrations, training, monitoring and support for the production switch. Go-live cost is kept apart from feature build.

Deliverables / sign-off

Includes tests before launch and an extra check just after start. We hand over a go-live plan, an operations guide, a security checklist and an agreed stabilisation window.

Decision gate: End users go live after you accept readiness. Changes in the go-live window need a separate cost approval.

Maintenance and evolution

Pricing model

A monthly service fee (fixes, agreed response) or a quote for the next stage. A larger feature has its own fixed-price offer.

Deliverables / sign-off

Ongoing support with priorities agreed with you. After the service contract ends, the system, documentation and decision history stay with you — no penalty for an unused “mega-contract”.

Decision gate: You approve the retainer or next-stage amount before start. Periodic contract review: scale up or down.

What needs analysis is for

After this stage you decide on materials, not a promise. Typical time: 2–4 weeks. Your side: 2–4 workshops and access to people who know the process.

  • A view on whether the solution makes business sense.
  • A recommendation: build, integrate, automate or reuse an existing tool.
  • The scope of the first useful go-live.
  • An indicative cost to reach the goal and to run it later.

Costs we include in the plan

A stage quote is our fee for the agreed scope. Some costs sit with external vendors — we name them in the plan before work starts.

  • Analysis and build — TensorFrog fee.
  • Migration and go-live — TensorFrog fee, if they are in the agreed stage.
  • Infrastructure and licences — usually with the cloud, software or hosting vendor.
  • External APIs or AI models — billed by the vendor on usage.
  • Maintenance and evolution — a retainer or a separate next-stage quote (TensorFrog); infrastructure and API costs stay with the vendors.

Revisions, new features and sign-off

Revisions that bring the result to the agreed criteria are part of the stage. New features and changes to an accepted scope need a separate quote — before we include them.

  • Stage sign-off is made by the decision-maker you name.
  • A delayed reply moves the schedule by the waiting time.
  • After sign-off you decide: next stage, a fix within the criteria, or a pause.

Order: email → analysis quote (A) → build-quote acceptance (B, no separate fee for “acceptance”) → build and tests → go-live and check → decision on stage C. Changes are priced before we do them. After the engagement ends, agreed materials and stage code stay with you.

We do not publish pricing online — every organization has a different context (compliance, integrations, data). We will tailor the pricing model to the stage and risk: [email protected]
