Property management — tenancy, defects and charges

Management is not unit sales. After completion come the tenancy, the deposit, rent, utilities, a defect and a report for the owner. Sales and operations must not see a different state of the same flat. The platform holds the record, the charges and the works in one place — without pretending to be a property-manager licence.

Tenancy · defects · charges

Where managing a unit pool breaks

The tenancy is in a cupboard, payments at the bank, the defect on WhatsApp, utility settlement in a spreadsheet. The owner gets a different state than the tenant. Rent indexation is missed. In a short-let season or a second building, three statuses of the same case diverge between sales, administration and finance.

Modules

What sits in this process

Unit and contract record

Unit, owner, tenant, agreement (term, deposit, indexation, annexes). Status: vacant, let, notice, works. Sales and administration read the same card.

Charges

Rent, utilities, sinking fund, annual settlement, corrections. A charge binds to the agreement and the period. Export to accounting is not three files glued together.

Receipts and deposit

Receipt, arrears, reminder, deposit settlement at the end of the tenancy. Payment status on the tenant — not a statement someone ticks by hand.

Defects and works

A defect: intake, priority, contractor, cost, close, protocol. Tenant and owner see the case status, not a chat thread.

Document flow

Agreement, annex, inventory protocol, notice. The file sits on the unit and the contract. Version and date — no “final_v3” on a drive.

Owner report

Occupancy, amounts due, works cost, result per unit or per pool. One set of numbers for the owner and for leadership — from the same record.

Integrations

  • Rent payments and reminders — status on the agreement.
  • Mail: reminder, defect acknowledgement, periodic owner report.
  • Charge export to accounting.
  • An Android app for the works crew (photo, protocol) when that is in scope.
  • Reports: arrears, time to close a defect, occupancy, result on the pool.

Directed solutions

  • A manager of a long-let apartment pool.
  • Seasonal / short-let — occupancy and stay settlement, without mixing it with unit sales.
  • A community or an owner of many units — a report and works without a spreadsheet per stairwell.

Example first stage

One building or one pool: tenancy records → a rent charge for the period → a receipt → one defect through to close. Acceptance: owner and administration see the same unit status, arrears are calculated from the agreement, a defect does not vanish in a messenger. Next stage — utilities, indexation, a tenant panel or a report for the next owner.
